You will be flexible, creative and solution focussed, able to manage a busy workload. Payroll and Pension preparation for Finance Manager Leading Health & Safety, Data Protection and Quality Assurance Providing PA support to Director and Board of Trustees Job tenure: Part timeAnnual salary/pro rata salary: 30-37 hrs per week - starting salary £24,790 pro rata Link to full information on job/how to apply: Aims & Objectives: Working under the direction of the Director, to provide full and comprehensive personnel service and to act as PA to the Director. You will monitor, review and improve processes to benefit the smooth and efficient running of the organisation. You will provide direct office management support in Coniston office and oversee support to the Kingswood office. Scope of the Job Strategy and Vision: You will be creative and innovative and take a lead in ensuring we have in place policies, procedures and systems that keep abreast with technology and adhere to existing legislation. You will work alongside the Director and leadership team to organise events, produce reports and demonstrate the impact of the organisation and its services Governance Ensure that Southern Brooks Community Partnerships Trustees receive appropriate and timely information and advice on all matters relevant to their responsibilities, including appropriate reports. Ensure compliance with relevant legislation including Health and Safety Management Provide strong and consistent leadership and motivation to the staff team Maintain good human resource practices that will attract and retain diverse, high calibre staff including responding to training needs Review and appraise the performance of staff reporting directly to you Tasks and Duties: HR • Maintenance of HR records, including annual leave & sickness forms, training& appraisal records. • Provide a comprehensive recruitment service including advertising, collection of application forms, short listing, interviewing, offer letters, contracts, induction packs & office 365 training, background and references checks • Plan and organise Quarterly Induction training for all staff and volunteers. • Supervise the training of all staff and volunteers on the management database. • Support and lead on disciplinary issues with staff member and their manager • Maintain retention and archiving system and organising data cleansing • Review and draft policies as and when required and maintain policy review schedule to ensure we are legally compliant. Keep Staff Handbook up-to-date. • Keep up-to-date with changes to HR, Employment Law and Statutory Laws • Quality Assurance Scheme: taking the lead on retaining award. Keeping all staff, board member and volunteers informed of the process and ensuring we are meeting the requirements. • Liaise with our Employment Law and Health & Safety specialists • Charity Log training for staff and lead Sub Group to develop database FINANCE • Payroll and Pension preparation, paying salaries, invoices & expenses requests. • Ensure pension and HMRC payments and returns are made in line with government regulations. • Liaise with insurance and life insurances companies for annual renewal. • Ensure Data Protection Registration (ICO) and Charity Commission websites are up dated. GOVERNANCE • Provide Director, Board and leadership team with executive support responding to requests for information, research and minute taking. • Provider Board with Quarterly HR reports. • Plan and organise events such as General Meeting and away days • Co-ordinate production of annual report and distribute as necessary IT SYSTEMS • Ensure IT equipment and PC audit is kept up to date • First point of call for liaising with IT Support for issues and advice HEALTH & SAFETY • Liaise with our Employment Law & Health & Safety specialists on ensuring the organisation is keeping and retaining our legal obligations. • Take the lead on office health and safety, i.e., PAT testing of equipment, fire alarm testing, equipment. GENERAL • Support Director and leadership team • Arrange travel and accommodation for leadership team • Any other appropriate task • Maintain an organisational inventory All employees are under a legal obligation not to use or disclose any personal information that comes into their possession during their duties in any unauthorised manner. You will be responsible for admin and volunteer admin staff General supervision will be received from the Director Businesses, media, funders, town councils, community organisations, Board of Trustees, public, employees, recruiters and outside agencies. The role will be based at our office in Coniston Community Centre, Patchway but we have offices in Kingswood that you will be required to work from occasionally. You must be willing to work outside of normal working hours and available for occasional overnight residentials.
