Job Title *: Administrative Assistant
Summary of role: 10 hours p/week, working in the office at our youth and community charity, carrying out the vital behind the scenes support that keeps us running! Our current admin assistant is retiring in April so were looking for someone to shadow her through Feb-April. She works Monday, Wednesday & Friday mornings so the new post holder should be able to cover some of this time for the handover period, but then could negotiate a change of hours to suit, with a minimum 2 days covered.

The job description includes: To provide administrative support to ensure that FACE operations are maintained in an effective, up to date, and accurate manner. To provide support to FACE Trustees and the Youth & Community Work Manager to ensure that they are provided with the resources to make effective decisions and to report to funders. Liaising with our payroll agent to provide payroll support and ensure payroll is administered in an effective, timely, and accurate manner. To administer and distribute wages and documentation as appropriate. To provide support in line with Data Protection and Information Sharing policies, for the accurate record keeping of personal information of staff, volunteers, trustees and members of FACE. In liaison with the treasurer, to provide financial support to ensure the financial operations of FACE are administered in an effective, timely, and accurate manner. To use SAGE to input data and generate reports as needed. To use online banking to facilitate FACE’s financial payments and record-keeping, as well as going to the bank weekly to pay in monies. Responsibilities shared with all staff: To take positive steps to counter discrimination however and whenever it occurs to observe equal opportunities legislation, and to operate within Safeguarding guidelines. To ensure the good Health & Safety of the premises and good Well-being of all staff and users is maintained. To encourage support for the work of FACE by fostering good relationships with the local community, church, parents, neighbours, and other related agencies, as well as building good relationships with staff and trustees. To participate in staff team (and individual) training, supervision, and development activities as required, in order to develop the work of FACE and the post holder’s skills and abilities.

Annual salary/pro rata salary *: £4280 (£8.23p.h.)
